Parent Rota Duty

Section 1. Introduction
1.1
This document details the roles and responsibilities of all those attending the club. It should be read in conjunction with the Code of Practice, which can be found on our website (https://www.gensnyc.co.uk/code-of-practice)
We ask for parents that are on the rota schedule to support the committee in ensuring club nights are fun, active and inclusive. The following guidance also looks to ensure the safety of everyone in attendance.

Members Must
In addition to the club rules as detailed in the Code of Practice, club members should observe the following:

Respect others personal space and boundaries

Respect others saying NO or asking to be left alone (this includes parents/carers, volunteers and committee members)

If a yellow card is shown, then the member must behave as explained by the committee member

If a red card is shown, then the member must behave as explained by the committee member and accept this as a final warning.A further incident will result in a telephone call to their parent or carer to come and collect and take home.
Members Must NOT
-
Cause harm or damage to property of both the youth club and or the Genesis Centre (this may incur costs for repair/replacement)
-
Stand so close to others that it makes them feel annoyed, block their right of way, push, shove or grab them so that it causes discomfort or harm.

Avoid prolonged staring which could make the other person feel uncomfortable.
Section 2. Parents on Rota Responsibilities
2.1
A rota schedule is created on a termly basis and where possible we will accommodate any planned dates you may be unavailable. In the event of needing to swap your rota, it is your responsibility to action this via the Whatsapp chat until a swap has been found. You are then responsible for ensuring an e-mail is sent to the club email (gensnyc@gmail.com) confirming the details of the swap.

The committee reserves the right to cancel any club night that does not have the required number of parents on rota.

2.2​
We accept that last minute sickness can be an issue and therefore we may ask a ‘bank’ of parents to step in last minute. This is separate from finding a swap and should not be used as a back-up. Swaps will be monitored to ensure that others are not disadvantaged by the changes, i.e. swapping multiple times to reduce the number of rota dates. Parents have the responsibility to inform the committee ahead of the session if they are unable to attend, even if last minute.
Section 3. Club Arrival/Departure
3.1
We ask that all parents upon arrival, remain with their young person at the entrance to the centre until a committee member is present in the foyer to accept the subs. Exceptions are for members who are travelling independently which has been acknowledged by the committee. If leaving club early, please notify a committee member, so this can be noted on the register.
Section 4 Rota Responsibilities
4.1
When you are on rota, it really helps the club to run smoothly when:

You arrive at 6:30pm to help set up the hall
-
You wear a squistle (squeezy whistle) in case you need to get the attention of a committee member

In the event you need to purchase tuck for yourselves, please ask your young person to purchase for you, or purchase this before club starts
-
You support the committee with other ‘end of evening duties’ which could include emptying the rubbish, checking doors/windows/toilets and sweeping the floor in order to leave the hall as we found it
-
You are to only take photos/videos of your young person as explicit permission has not been given by anyone else
-
Personal distractions are avoided, like using your phone whilst on rota

If assistance is needed, please alert the attention of a committee member by using the squistle

4.2
Main door
-
If on main door rota, you must remain seated or stood as close to the door as possible as you will need to be aware of who is in the Art room, if in use and ensure there is no inappropriate behaviour

If you need to leave the main door for any reason, the person on the toilet door MUST cover for you until you return

If you need to leave the door at any time, the person on the toilet door MUST cover for you until you return

4.3
Toilet door
If on the toilet door, please must keep track of:

Who is in the toilet area
-
Using the Vacant (GREEN)/In Use (RED) slider sign on the whiteboard so everyone has a visual prompt as to its status

Offering hand sanitiser upon return
-
Any member in the toilet preventing others from using the facilities; alert a committee member
-
Being mindful of the young person who may try to use the exit doors, in this instance you should stand down the corridor at the T junction until they have vacated the toilet and returned to the hall

Requesting a committee member covers for you if you need to leave your position for any reason

4.4
Main hall

You remain in your ‘zone’ to actively assist the members in making the most of their time with the activities on your table.

Should you have no members on your table, seek to encourage members to join in games, especially those sitting by themselves

Club finishes at 9pm, therefore packing away commences after this time
4.5
Carers – Paid or Unpaid
When attending the club with your young person you are responsible for, we ask that you:
-
Remain within close sight and have awareness of what they are doing
-
Ensure that their safety and well-being is maintained
-
Interact with them and support them during chosen activities, where appropriate
-
Allow them to develop interpersonal skills and relationships with others, only if safe and relevant to do so
-
Ensure personal distractions are kept to a minimum whilst recognising these needs of your young person
